    Job Title:  Coordinator of  Volunteers 

    FLSA:Non-Exempt – Part Time

    Date:01/28/25

    Salary:$12.00/hour


    Position Function: Develop and maintain a base core of volunteers to assist with QV's tours, programs, and special events. Plan and coordinate volunteer participation in Farm Animal Frolic, Summer Highlights, Children's Day, Music in the Valley, Heritage Craft Day, Pocono State Craft Festival, and Harvest Festival.

    Supervised by: Executive Director


    FUNCTIONS, DUTIES, & RESPONSIBILITIES:

    General Duties:

    • Represent Quiet Valley with a positive, respectful, and courteous attitude and demeanor to other staff and the public at all times. 

    • Participate in  team meetings.

    • Wear time-period appropriate attire as mandated in the Quiet Valley personnel manual.

    • Support Quiet Valley’s mission, policies and procedures as outlined in staff handbook.

    • Know and follow appropriate emergency procedures as set forth by Quiet Valley policy.

    • Demonstrate professional behavior, reliability, and dependability. 

    • Complete work-related tasks, not specifically set forth in the job description, as requested by management.

    • Work with visitors of all ages including children and adults.  

    • Two weeks prior to a scheduled BOD meeting, prepare a written report for the Board and Executive Director to be included in the information for the Board of Directors.



    Volunteer Coordinator:

    • Compile and maintain a master list of all volunteers involved in any aspect of Quiet Valley’s operations.

    • Recruit volunteers according to their interest and ability as needed to fill the needs of the programs and tours, including summer highlights.

    • In cooperation with other management staff, develop a list of policies and procedures for volunteers to acquaint them with the organization and their role in its operation.

    • Develop concise volunteer job descriptions for available positions.

    • Develop and conduct appropriate initial and ongoing training for all volunteers.

    • Organize annual volunteer appreciation events and extend appropriate thanks/benefits. 

    • Plan and run onsite and outreach adult training programs with relation to volunteer education.

    • Assist in planning and creating volunteer-based social media posts.



    Special Events

    • Identify, contact, and engage the appropriate guest speakers, entertainment, artisans, craftsmen, etc., necessary for the different large events (Farm Animal Frolic, Harvest Festival,) and smaller events ( Childrens Day, Music in the Valley, Heritage Craft Day, PA State Craft Festival and summer highlights.

    • With the support of the Executive Director, Director of Education and Programs, Director of Farming Operations, and Facilities Manager, provide leadership for Farm Animal Frolic, Harvest Festival, and Old Time Christmas.

    • Manage the processes and procedures necessary for events, and develop procedures manual for special events.

    • Assist in set up and clean up for all events, including major events and summer highlights.

    • Coordinate with food chair to provide volunteer coverage where needed.


    Qualifications:

    • Knowledge of or willingness to learn about historic lifeways and practices. 

    • A college degree in History or a related field is helpful.

    • Prior work at a historic site is helpful. 

    • Experience with schoolchildren, educational programming, outreach programs and special events in a traditional or non-traditional setting is helpful.

    • Physically able to lift 50 lbs.

    • Possess a valid driver’s license with a clear driving record, if applicable.

    • Ability to pass child abuse and criminal record checks.

    • Computer experience in data entry and word processing.



    Working Conditions:

    • This position is a  part-time position with 8 to 15 hours weekly during slower seasons and 30 to 35 hours weekly during busy seasons.Yearly the work week will be 1st quarter = 8 to 15 hrs, 2nd quarter = 30 to 35 hrs, 3rd quarter = 15 to 35 hrs. fourth quarter = 15 to 35 hrs per week.

    • Ability to work a flexible schedule, some weekends are a must.

    • Ability to use or learn to use 19th century equipment.

    • The volunteer coordinator splits their time between office work and on-site coordination during events.
